  • 📄 CANCELLATION, REFUND AND CONDITION POLICY

    APPLICABLE TO GROUP TOURS ORGANIZED WITHIN PANAMA

    1. SCOPE AND OBJECTIVE

    This policy applies to all bookings made for fixed-date group tours operated within the territory of Panama, for both domestic and international tourists. It aims to establish clear and fair terms that protect the customer experience and the proper functioning of the tour operator, considering advance logistics, coordination with providers, and the quality of group service.

    2. NATURE OF THE SERVICE

    • Services are group tours with fixed dates, limited spots, and pre-established logistics.
    • They include components such as ground transportation, meals, admissions, experiences, guides, and operational management within the country.
    • By booking, the customer acknowledges and fully accepts this policy.

    3. CANCELLATION BY THE CUSTOMER

    Cancellations must be requested in writing only via email to: esanchez@panamaget.com

    PROCESSING FEE:
    All cancellations incur a non-refundable $25 USD fee per person, under any circumstances. This fee covers administrative tasks, provider payments, and personalized service.

    4. DATE CHANGES

    • Accepted up to 7 days before the tour date.
    • Subject to availability and agency confirmation.

    Fees:

    • $20 per person (1 or 2 persons)
    • $15 per person (groups of 3 or more)
    • The $25 processing fee per person applies (if not previously charged).

    Only one date change per booking is allowed. The new tour must take place within 6 months of the original date.

    5. TRANSFERRING A RESERVATION

    Customers may transfer their spot to another person without losing their investment, provided that:

    • The request is made at least 48 hours before the tour via email.
    • New participant’s information is submitted.
    • A $10 USD administrative fee per person is paid.

    Transfers are not accepted on the same day as the tour.

    6. CANCELLATION OR RESCHEDULING BY THE AGENCY

    If the agency is forced to cancel due to logistics, safety, weather conditions, or not meeting the minimum group size:

    • The customer may choose between:
      A full refund, or
      Rescheduling without penalty

    The agency will notify as early as possible and offer available alternatives.

    7. FORCE MAJEURE SITUATIONS (CUSTOMER SIDE)

    Considered force majeure:

    • Serious illness
    • Accident
    • Death of a direct family member
    • Critical emergency with documentation

    Not considered force majeure:

    • Work shifts or professional commitments.
      We recommend checking your availability before booking.

    Procedure:

    • Notify via email and submit documents within 5 business days of the tour date.
    • The agency will evaluate and may offer:
      Partial refund, depending on committed expenses
      Rescheduling without penalty

    The $25 processing fee is non-refundable.

    8. EXTERNAL CAUSES (PROTESTS, WEATHER, NATIONAL EMERGENCIES)

    If the tour cannot take place due to external causes such as road closures, protests, natural phenomena, or health emergencies:

    • A 100% refund will be issued, minus the $25 processing fee per person
    • Or rescheduling will be offered without penalty

    9. NO-SHOW AND LATE ARRIVALS

    • If the customer fails to show up on the tour day or arrives late and misses the departure, it will be considered a no-show.
    • No refunds will be issued in these cases.
    • It is recommended to arrive 15 minutes before the indicated meeting time.

    10. MEDICAL CONDITIONS AND CUSTOMER RESPONSIBILITY

    • It is the customer's responsibility to inform the agency of any relevant medical or physical condition prior to booking.
    • Some tours may not be suitable for people with reduced mobility, pregnancy, or other restrictions.
    • The agency reserves the right to decline bookings if the activity is deemed unsuitable for the participant, prioritizing group safety and integrity.

    11. CUSTOMER BEHAVIOR

    • The agency reserves the right of admission and participation during the activity.
    • If a customer displays inappropriate, aggressive, or risky behavior, they may be excluded from the tour without a refund.

    12. SERVICE LANGUAGE

    • All tours are conducted in Spanish.
    • If a guide in another language is required, it must be requested in advance and may incur an additional fee, subject to availability.

    13. REFUNDS: TIMING AND METHODS

    Refunds will be processed within up to 20 business days, counted from the date of the confirmed cancellation or tour (whichever is later).
